UKRCS Privacy Notice
Last updated: 25 August 2026
Who we are
UK Resilient Communications Service (UKRCS) is a founding-stage volunteer organisation developing resilient communications capability for public-benefit activities in the United Kingdom.
Privacy enquiries can be sent to info@ukrcs.org.uk.
Information we collect
When you use our website forms, we may collect information such as:
- your name and contact details;
- your town or area;
- your volunteering interests and information you choose to provide about your background;
- your organisation, role, location and details of a support enquiry;
- technical anti-abuse information generated when a form is submitted.
Please do not send casualty, medical, safeguarding, financial, identity-document or other highly sensitive personal information through the initial website forms.
Why we use your information
We use personal information to:
- respond to enquiries;
- consider and administer prospective volunteering;
- assess requests for communications support;
- maintain appropriate correspondence and organisational records;
- protect our forms and systems from spam and abuse.
Lawful basis
UKRCS generally relies on legitimate interests where it is necessary to respond to genuine enquiries, develop and administer the organisation, assess prospective volunteers, and protect the website from abuse. Where another lawful basis applies to a particular activity, UKRCS should document that basis separately.
Who receives the information
Enquiries are made available only to people who reasonably need them for the relevant UKRCS function, such as volunteering, operations or governance. Our website and form-processing infrastructure is hosted using Cloudflare services. We may use other service providers where necessary for organisational email, security or administration.
How long we keep it
As a starting retention policy, UKRCS intends to retain unsuccessful or inactive volunteer enquiries for up to 12 months, and ordinary support enquiries for up to 24 months, unless a shorter or longer period is reasonably required for legal, safeguarding, insurance, operational or record-keeping reasons.
If you become an active member, volunteer, partner or operational contact, relevant information may move into the appropriate organisational record and be retained under the applicable retention schedule.
International processing
Some technology providers may process information using infrastructure outside the United Kingdom. Where this occurs, UKRCS will seek to use providers and safeguards appropriate to applicable UK data-protection law.
Your rights
Depending on the circumstances, you may have rights concerning access, correction, deletion, restriction, objection and portability of your personal information. You may also have the right to complain to the Information Commissioner's Office.
To ask about your personal information or exercise a relevant right, contact info@ukrcs.org.uk.
Automated decisions
UKRCS does not intend to make decisions with legal or similarly significant effects solely by automated processing through these website forms. Automated anti-spam checks may be used to reject suspected bot submissions.
Changes to this notice
We will update this notice when our organisation, legal status, systems, suppliers or uses of personal information materially change.
